Using the Archive

Opening the archive door allows you to search for and review previous cases. It is important to note that this view only shows recorded data and is not a live representation of incoming data.

A list of all previous patient records in patient ID order from the last two weeks will be displayed by default. The default search date is indicated by two calendars at the top left of the screen, by changing these dates and clicking [Apply Date Range], the listed patients will change to reflect the new dates entered. You can change the sort order by clicking on the column heading of your choice. First click will sort in ascending order, second click will sort in descending order.

Clicking on your chosen record will display all recorded information for that patient's pregnancy (see below). Depending on the scope of your Guardian implementation, you will be able to review either the patient's:
  • CTG and notes (CTG only systems), or
  • CTG, Partogram, Antenatal notes and outcome details (full partogram systems).
Information is displayed in a very similar format to that used at the bedside and central station, but you will be unable to add or edit intrapartum information. 

To print record details choose the [Print] button and choose whether to print CTG (with or without annotations), partogram, and notes pages.

Search

Search by Patient or Infant Name, DOB or Patient ID. Please note that you will need to click on the magnifying glass icon to the right of your chosen search criteria to initiate a search.

Filter

by No Outcome

Filter records that have no recorded outcome.

Custom

More advanced patient filters can also be used to find patients that meet a specific criteria. For example, a user may want to find how many mothers have had caesarean sections within the last two weeks. To do this select “Filter” at the top of the screen, then select “Custom”. A new screen will then appear allowing you to search for and apply various filters (see below). If the bar at the bottom of the filter window displays as green then records match this query, whereas red will indicate that the filter will not return any results. Report

The Report tool allows you to view a set of pre-made reports or to create your own custom reports using filters of your choice. A complete guide to using Athena's Custom Reporting functions is enclosed.

Admin

Session Manager (Administrator Only)

Each time a mother is admitted to the Bedside during a pregnancy, a monitoring 'session' is stored by the Guardian system.  These sessions can be viewed in great detail using the Session Manager. 

To find a particular session, first start by narrowing your date range using the 'Start Time' and 'End Time' controls (please note that you cannot set the start and end times for the same day. Sessions are organised in a tree structure in the main window in either chronological (by default), room or patient order. You can change this order by using the dropdown menu at the bottom right of the session manager window and clicking the [Refresh] button.

By clicking on the plus symbol or double clicking on an icon in the tree, that item is expanded to show a list of the events or blocks of recorded CTG data indicated as ‘CTGChunk’.

To view the details of an item in the tree below the top level, simply click on the appropriate icon and then click on the [View] button at the right of the window.

If the unfortunate situation arises where a new patient is brought into a room and monitored whilst the previous patients details are still admitted onto the Bedside, any CTG trace incorrectly stored against the wrong patients record can be anonymised by selecting the appropriate top level session icon in the tree list and then clicking on the [Reattribute] button atthe right of the window.  A confirmation will be displayed before any action is carried out and user authentication is required to complete the process.

Note: Once a session has been anonymised, although it remains in the database, it cannot be assigned to another patient’s record. We suggest that the incorrectly assigned CTG trace segment is printed and filed in the correct patients paper record with the correct patient's ID label and a short note explaining the circumstances around the mistake. If possible, also write a short free text note in the correct patients Guardian record to explain the missing CTG trace segment. Export

From the main archive window you can export a case to save and use as an anonymous case for training by clicking on the button to the left of the patient ID and choosing 'Anonymous Export Case'. Exported cases are saved as a .k2zip file. To open a saved anonymous case, choose the Open Case option from the export menu.

Resolving Record Conflicts

If temporary patient records are created that need to be matched to PAS records, the following alert will flash on and off on the Archive main page:

Clicking on this message will display the Record Conflict Resolution window as displayed below:

First, try using the [Resolve All] button to resolve any listed patient record conflicts. Athena will try to find, match and merge duplicate records automatically.

If this does not resolve the conflict, you can click on the icon to the left of the record and choose 'Resolve' to attempt to manually search for and merge records as shown below:


Potentially matching records will be displayed, or you can choose to manually search for matching records by using the [Search] button.
